Self Catering Terms and Conditions

General

Saxa Vord Holiday Houses are generally offered for self-catering let on a weekly basis, usually Saturday to Saturday, 4.00 pm on the date of arrival to 10.00 am on the date of departure, unless otherwise stated, subject to the Hiring Terms and Conditions.

They may also be available for let on a part-week basis. Please call us on 01957 711711 to see if any are available.

Booking Your Holiday

Once we have confirmed availability and you have provisionally booked, either verbally or by letter, e-mail or fax, the property will be held for you for a period of 7 days while you complete and return the Booking Form with payment – by mail or fax.

Bookings may also be made verbally over the telephone.

Paying For Your Holiday

We have tried to make paying for your holiday as simple as possible.

The initial payment (deposit) is £100 and may be paid by cheque, cash, credit card (Mastercard/Visa) or debit card (Switch, Delta etc).

The balance is payable no less than 6 weeks prior to commencement of the holiday for UK residents.

If you are booking within six weeks of the start of your holiday, payment in full is required with your booking form.

Cheques must be made payable to “Saxa Vord Ltd”.

A 2.5% surcharge is payable on credit card payments.

A receipt is issued on receipt of the final payment. Hire charges include VAT where applicable.

Booking From Overseas

Due to the difficulties that distance can impose on postal delivery times we allow up to 10 days for bookings to be confirmed from the date a telephone reservation is made for an overseas booking. We also require payment of the balance of charges 8 weeks prior to the commencement of the holiday.
 
Payments from overseas should be made by credit card, (Mastercard and Visa), debit card, sterling travellers cheques or an international money order in Sterling. Any bank charges incurred will be payable by the hirer.

Cancellations

Please note that once a booking has been confirmed you are liable for the whole deposit on the holiday and the full cost of the holiday if the cancellation occurs within 6 weeks of the commencement of the reservation for UK residents and 8 weeks for Overseas.

However, we will do everything possible to re-let the property and, if successful, we will make a full refund, less an administration charge of £50 (inclusive of VAT).

Holiday Protection

You are strongly advised to take out holiday insurance cover against cancellation as soon as you make your initial payment to Saxa Vord. We can recommend an insurance underwriter to you if requested.

Good Housekeeping

We ask for a Good Housekeeping Deposit of £175 prior to the commencement of each holiday. This is returnable to the hirer less the cost of making good any damage or loss to the property or for excessive cleaning found necessary following the period of occupation.

Equipment

Each property is furnished and equipped to cater for the stated permitted occupancy and includes pots and pans, crockery, cutlery, iron and ironing board. Houses contain all major items of domestic equipment and a summary can be found on the Accommodation Options page of this website. However if any items are of particular importance to you please check with us beforehand to confirm their presence.

Pets

Pets may accepted by arrangement, a supplement of £10 per week being payable per stay or per week whichever is the lesser. Details must be supplied on the booking form. Pets may not under any circumstances sleep on beds or other furniture and may not be left unattended in houses. Normally only one pet will be allowed.

Smoking

Smoking is not permitted in any of our holiday houses or, in keeping with Scots law, in any other public buildings.

Linen

All properties are supplied with pillows, duvets, blankets and bed linen, towels and tea towels - though Bunkhouse guests must bring their own towels.

Cleaning

All properties are cleaned thoroughly between each let. However, as only a limited period of time is available to clean properties, it is a condition of your let that you leave the property and its contents clean and tidy.

Complaints

It is of the utmost importance to us that our guests enjoy their holidays and every effort is made to ensure that this is the case. However, in the unlikely event of dissatisfaction with the property or any subsequent problem, guests must contact us immediately (usually within 2 hours of arrival) so that we have an opportunity to rectify the problem. Under no circumstances will any refund be considered if we have not been given the opportunity to rectify any problems during the Hirer's let.

Hiring Terms And Conditions

  1. The hiring contract is between the Hirer and Saxa Vord Ltd.

  2. The receipt by us of a signed booking form and initial payment is treated as a firm booking and, if accepted, the Hirer becomes liable for the full balance of charges which are payable six weeks prior to the commencement date of the holiday for UK residents and 8 weeks prior for Overseas residents.

    Non-payment of the balance of hire charges by the due date will result in us treating the property as being available for re-booking.

  3. If the Hirer cancels a confirmed booking he/she automatically forfeits the deposit or the full cost of the booking if the cancellation occurs within 6 or 8 weeks of the start of the let depending on the Hirers country of residency.

    Upon receipt of written confirmation of the cancellation from the Hirer, we will endeavour to re-let the property and if successful will make a full refund to the Hirer less an administration fee of £50 (inclusive of VAT) and any other expenses incurred in re-letting.

  4. The cost of electricity, unless otherwise stated, is included in the rent.

  5. The number of persons occupying a property must not exceed the maximum occupancy level stated in our advertising material and agreed at the time of booking.

    We reserve the right to terminate occupancy of the property without notice or refund in the case of a breach of this condition.

  6. The Hirer is responsible for the condition of the property and its entire contents during the hire period, fair wear and tear excepted. The Hirer will make good any damage or loss and leave the property and contents in a clean and tidy condition. The person held to be responsible for the hiring party will be the person who signed the booking form.

  7. Unclaimed lost property will be held by Saxa Vord Ltd for a period of 6 months, after which it will be disposed of as the company sees fit. Where identifiable items are discovered after a guest’s departure, the guest will be notified and asked to meet the postage and packaging costs that will be incurred in returning them. 

  8. We reserve the right to decline to hand over properties to any person or persons who, in our opinion, is not suitable to take charge. In such cases, hire charges shall be refunded in full and our liability shall cease. If we are prevented, because of circumstances outwith our control, (e.g. fire damage, drought or the interruption of utility supplies), from putting our property at the disposal of the Hirer, the hire charge shall be refunded in full and the Hirer shall have no further claim against us.

  9. Staff have the right to enter houses at all reasonable times.

  10. The contract effected between the Hirer and Saxa Vord Ltd is in terms of Schedule 4 Section 8 of the Housing (Scotland ) Act 1988 and confers on the Hirer the right to occupy the property for the period agreed for holiday purposes only.
